PRIVACY POLICY & FAIR PROCESSING NOTICE

Fair Processing Notice: We only use information for purposes of doing business with you. Phone numbers, emails, and any other personal information is used to inform you on the status of current projects. It may also be used by Letterset Communications as a means to inform you of upcoming discounts, deals, or opportunities. By giving us this information, you agree to any phone calls, emails, or other methods of marketing.

Privacy Policy / GDPR Compliance: Your privacy is a top concern for us, which is why we are making you aware of what processes we have in place to protect it. Below we will discuss what type of information we obtain, how we store it, what we do to protect it, and our processes to periodically destroy your data.

Information Collected from You

  1. Client information could include your name, phone number, address, username, IP address, location, and any relevant banking information (collected for the purpose of invoicing).  This information will not be distributed to third-parties. We will not release this information unless required by law (at which point we would give you a notice of what we are doing).

  2. Project information may include a wide variety of text documents or marketing materials. We understand that this information is confidential, and we agree to not distribute this information unless required by law.  

  3. We store client information in the contact cards connected to any “lettersetword.com” emails. We also store your information within a spreadsheet noting any other additional information pertinent to working with you.

  4. If you should request a record of information we have on you, we are GDPR compliant and are able to send it to you within 30 days. This will be done free of charge to you.

Protecting Your Information

  1. Anti-Virus Software is active on our devices and conducts scans periodically. This software enables us to block viruses, malware, ransomware, and spyware. It’s protected by encryptions and passwords. This software will be renewed again at the start of each calendar year.

  2. Need to Know Basis: Client and project information is primarily obtained and stored by the owner of Letterset Communications. Employees will be given client information on a need-to-know basis only.

  3. If there are any breaches in security, we will notify you within 48-hours of discovery of the breach.

Destroying Your Data

  1. If you would like to be “forgotten” from our records, please send written notice of this request to chilton@lettersetword.com. Upon receiving your request, we will delete contact information housed within our email database, as well as any other records which include your contact or project information. We will refrain from contacting you again, except in the case of sending you an email confirmation noting the deletion of your information.
